Wahana Visi Indonesia is a trusted partner of World Vision International.Key Responsibilities:Area placement can change, according to the needs of the Organization. The HIRO will equip the leadership team in making timely evidence-based decisions as well as support multiple other departments in the tracking, monitoring and reporting of humanitarian operations. The position demands regular consultation with and reporting from other departments in the response office, especially operational and technical sector specialists. The HIRO also responsible for leading field-based IT operations pertaining to the Last Mile Mobile Solutions (LMMS) and Commodity Tracking System (CTS). This includes provision of technical support to commodity distribution field staff during field registrations/distributions, assist in consolidation and generation of CTS reports for food project /cash-based project reports. This position will also require delivering system maintenance, regular reporting to various stakeholders in information and reporting issues, uploading reports in the Disaster Grants Database in a timely basis and reviewthe reports submitted by the field offices. This position will also participatein the Information and Management System working group to ensure WV is meaningfully contributing to the development and operation of national information management working group. Strategy Development & PlanningMaintain an organized and chronological information management system, which is easy to access at any time according to the country retention policyResponsible to maintain data protection and privacy according to WV and national policyDesign and implement the Office Information Management structure for internal and external information sharing within the humanitarian and wider communityDevelop a clear information management and reporting flow chart and schedule for WV staff, especially with operations and sector teamsIf required, maintain a comprehensive commodity tracking system as to ensure that all commodities (cash, voucher, food & NFIs, and other services) are properly distributed and accounted for to WV Partnership and donor standards.Resource Acquisition & ManagementProvide data analysis of the past projects trend and experiences for development of new proposals opportunitiesCapacity BuildingProvide Input to ensure that IM systems, assets, capacity building such as training, system licences, subscriptions and any travel related cost are well planned and budgeted for.Implement staff training and updates to forms and systems for field staff to ensure compliance with WVI standards in aid delivery management and reporting, and to ensure adequate coverage of information management systems.Ensure that all commodity losses and claims procedures comply with the World Vision Partnership and donor requirements. Accountability & Quality AssurancePreparation of inputs for and sharing of Situation Reports (Sit Reps), regular reports as needed or required by the internal and external stakeholders Ensure that the required periodic reports are accurate, complete and submitted on time to the relevant consumers. Maintain inventory control on a monthly basis and ensure that the commodity (paper, e-voucher, in-kind assistance) book balances match with the actual stocks. For In-Kind, Cash & Voucher Reporting, timely, accurate, and complete reporting through the Performance Matrix Indicators (PMI) and the Response Emergency Dashboard (RED) Ensures correct functioning of LMMS in beneficiary registration, enrollment, household updates and commodity distribution activities. Troubleshoots technical problems as they arise (including forcing the movement of filed data to permanent data repositories).Ensure backups of field data collection and ensures safety of data collected in field operations by password control to databases and encryption of laptop data where required.Serve as technical point of contact/support for Field Monitors and reports back to the core delivery team on state of field deployments.Install LMMS in roaming servers, mobile devices and perform system data updates as required for field use.Networking & CoordinationActively participate in the Information Management working groups wherever it is active in a country of operation or in a response.Work closely with DM technical support team for system upgrades, maintenance and supportManagement & LeadershipSubmits periodical/ monthly accomplishment reportBuild and maintain positive spirit of working in team with other staff in respective unit and department Contribute and support to enrich organization’s life, faith, Christian Commitments and work. Contribute to the cultivation of commitment in serving the most vulnerable children and communities we seek to serve among our staff, the Board, as well as donors/sponsors and supporters.Ensure implementation of Safeguarding Policy in accordance with the roles and responsibility .Be a role model and inspiration in managing work, communication and relationship with internal staff and external parties on knowledge management and innovation field.Manage all risks related to Humanitarian Information Management & Reporting ,according to organization policies, guidelines, and standard. This includes risks in fraud, safeguarding, and other related risks.Job RequirementsMin 2 years’ experience in relief and development work, progressively responsible experience in the collection,compilation, analysis and dissemination of statistical data or related area.Bachelor’s degree in computer Science or IT or data analysis, statistics or social sciences or any other related course . Good understanding on the /DMT systems and approaches.Proven experience of statistical software to analyze and evaluate complex data is required (e.g. SPSS, SAS, and STATA). Great Microsoft applications knowledge such as MS Teams, Power Bi, One drive, SharePoint, Google Docs and Sheets. Ability to travel and participate in field visits, sometimes in remote or challenging locations. Adequate physical health to meet the demands of frequent travel and fieldwork.Fluent in English is a must.
